1. Getting Started

1.1 Installing the Spiral Notebook Mobile App

The Spiral Notebook application can be installed from the Apple App and Google Play Store onto any iOS or Android mobile device. To do this, open the App Store (iOS) or Play Store (Android) on your mobile device. Search for “Spiral Notebook”, locate the app in the menu and tap the Install button. (Figure A)

1.1.1 Setting Spiral Notebook Mobile App to Auto Update

After installing the Spiral Notebook mobile app it is essential to set it to auto-update on your mobile device so it will always have the latest version and issue/bug fixes.

1.1.1.1 iOS Mobile Device

  • Go to the mobile device’s Settings > App Store then make sure that the “App Updates” toggle under “Automatic Downloads” is switched on. (Figure A.1)

1.1.1.2 Android Mobile Device

  • Open the “Play Store” app then tap the profile icon on the upper right corner to go to “Settings”.

  • Go to “Network Preferences” > “Auto-update apps” and make sure to either select “Over any network” or “Over Wi-Fi only”. (Figure A.3)

1.2 Installing and Setting Up the Google Drive App

  1. Go to the Apple App Store or Google Play Store and install the Google Drive mobile app. (Figure B)

1.3 Setting up your Login Credentials

  1. You will receive an invitation email to set up your Spiral account. Use the link in the email to access the Spiral system (Figure D), then click the “reset password” link on the site.

  1. Enter your new password and re-enter it in the “Confirm New Password” box. Tap the “Submit” button. (Figure E)

1.4 Launching the Spiral Notebook Mobile App

  1. To open the app tap on the Spiral Notebook app icon on your mobile device home screen.
  2. Please log in using your email and password credentials. (Figure 1.1)

1.5 Resetting Password

  1. If you forgot your password and are unable to login to your account, tap "Forgot Password?" from the Login page. Enter your e-mail address and then tap "Submit". Tap "Close" or "OK" on the confirmation popup. On iOS device, tap "Done" to go back to the Login page (Figure 1.2)

Note: Make sure to enter the email address associated with your Spiral Notebook teacher account.

  1. Open your email and click the reset password link sent to you. Enter your new password and re-enter it in the “Confirm New Password” box. Tap the “Submit” button (Figure 1.3). Go back to the mobile app and login using your new password.

2. Syncing Mobile Device to the Web and Server Changes

  • On the Home page there is a note on top that informs you when your mobile device was last synced with the changes made on the web app and/or on the server (Figure 1.4). The changes you made on your mobile device do not require manual syncing, only the changes made on the web app and/or on other mobile devices by you and/or others (for shared portfolios and shared artifacts) do. To sync your mobile device simply do a pull-down refresh on the Home page.

3. Sending App Feedback

  • Help us make this app better. If you have any feedback or issues please submit a bug report by going to “Help” (from the footer navigation bar) > "Give Feedback" . Fill in the SPIRAL App Feedback Form and then tap the “Submit” button (Figure 1.5)

4. Adding Artifact

4.1 Adding Photos

  • Go to the Home page, select a Portfolio and then tap the “Add Photo/Video” button. (Figure 2.0)

4.1.1 Photos from Gallery

  • To add photos from the phone, tap the “Choose Photo(s)” button. (Figure 2.1)

  • Allow Spiral Notebook app to access all photos and then tap the photo(s) you want to add.

Note: If you did not allow access to photos from the app, you would need to go to the phone’s Settings > Spiral Notebook > Photos and select “All Photos”.

  • Tap the “Add” button. (Figure 2.2)

  • Repeat the steps above to add more photos.

2.1.2 Capture Live Photos

  • To capture a live photo, tap the “Capture Photo” button. (Figure 2.3)

Note: If you did not allow access to the camera from the app, you would need to go to the phone’s Settings > Spiral Notebook and turn on the “Camera”.

  • Take a photo and then tap “Use Photo”
  • Repeat the steps above to capture another photo.

4.2 Adding Videos

Before uploading any videos make sure to follow these steps to make the video size smaller resulting in a faster upload time.

  • On an iOS device, go to the phone's Settings > Camera > Record Video > and select the lowest available "720p HD at 30 fps".
  • On Android, open the Camera app on the phone > switch to Video > tap the Settings icon at the top and select the lowest available "Full HD (1080p) at 30 fps". Tap “More settings” then select “...Advanced” and make sure that “Store videos efficiently” toggle is turned off to make the video format compatible with the Spiral Notebook mobile and web app.

4.2.1 Videos from Gallery

  • To add videos from the phone, tap the “Choose Video(s)” button. (Figure 2.4)

Note: If you did not allow access to videos from the app, you would need to go to the phone’s Settings > Spiral Notebook > Photos and select “All Photos”.

  • Tap “Choose”.
  • Repeat the steps above to add more videos.

4.2.2 Capture Live Videos

  • To capture a live video, tap the “Capture Video” button. (Figure 2.5)

  • Allow Spiral Notebook app to access the microphone.

Note: If you did not allow access to the microphone from the app, you would need to go to the phone’s Settings > Spiral Notebook and turn on the “Microphone”.

  • Record a video and then tap “Use Video”
  • Repeat the steps above to capture another video.

4.3 Deleting Photos/Videos

  • Tap the photo/video and swipe to the left to remove the uploaded photo/video.

4.4 Adding Files

  • Go to the Home page, select a Portfolio and then tap the “Add File” button. (Figure 2.6)

  • Tap the file you want to add.
  • To select multiple files on iOS devices, tap “...” and then tap “Select”. Tap the files you want to add and then tap “Open”. For Android devices, simply tap and hold the first file until you see a checkmark then tap the remaining files to add. Tap “Select”. (Figure 2.9)

4.5 Deleting Files

  • Tap the file and swipe to the left to remove the uploaded file.

4.6 Answering the Artifact Survey

  1. On the first page of the survey, answer all questions. Select the “Save to Parking Lot” button if you want to save and exit the survey without submitting the artifact to the portfolio. Select the “Next” button to complete the next set of questions. (Figure 2.10)

  1. On each page, tap the “Next” button to move to the next question. Tap the back arrow button at the top of the page to see the previous question. (Figure 2.11)

Note: You can save and exit the survey without submitting the artifact to the portfolio at any time, by tapping the “Save to Parking Lot” button.

  1. When you are ready to submit your artifact to the portfolio tap the “Submit” button. (Figure 2.12)

5. Managing Artifacts in the Parking Lot

5.1 Editing Artifacts in the Parking Lot

  1. On the Home page, tap the “Complete Parking Lot Artifacts” button. (Figure 3.1)

  1. Select the artifact you want to edit. (Figure 3.2)

  1. Tap the “Edit >” button of the uploads and/or responses you want to change. Edit your responses by typing into the text box or selecting a different choice(s). Tap the “Save” button. (Figure 3.3)

  1. Tap the back arrow on the upper left corner to go back to the parking lot and edit other artifacts.

5.2 Submitting Artifacts from the Parking Lot to Portfolio

  1. On the Home page, tap the “Complete Parking Lot Artifacts” button. (Figure 3.4)

  1. Select the artifact you want to submit to the portfolio. (Figure 3.5)

  1. To add or edit a response to the question tap the “Edit >” button and then save the changes. (Figure 3.6)

6. Managing My Portfolio

6.1 Viewing My Portfolios and Personal Artifacts

  1. Select a portfolio from the My Portfolios list on the Home page or tap the “View My Portfolios” button to see more and select from the dropdown list. (Figure 4.1)

6.1.1 Viewing Uploaded Photos/Videos/Documents of the Artifact

  1. Tap the uploaded photo/video/document of the artifact. (Figure 4.2.1)

Note: You might need to install another app (MS Office, PDF Viewer etc.) to view the uploaded document.

  1. On iOS, wait for the photo/video/document to load then tap the Done button to go back to the artifact.
  2. On Android, follow the steps below to view the uploaded photo/video/document:
    • Tap the photo to view, once done viewing switch back to the Spiral Notebook app.
    • Tap the video and then wait for it to finish downloading. If it did not auto-download, tap the "..." button and select "Download". If after downloading, the video does not play, go to your device's Files > Downloads and open the video from there. When done playing the video, switch back to the Spiral Notebook app.
    • Tap the document, wait for it to download and then tap the downloaded document to view. Switch back to Spiral Notebook app to view other uploaded files.

6.2 Completing Artifacts

  1. After selecting a portfolio on My Portfolios page, tap the incomplete artifact (marked with a blue circle icon) you want to submit. (Figure 4.3)

  1. To add or edit a response to the question tap the “Edit >” button and then save the changes. (Figure 4.4)

6.3 Editing and Deleting Artifacts

  1. After selecting a portfolio on My Portfolios page, tap the artifact you want to edit or delete. (Figure 4.6)

  1. To make changes to the artifact, tap the “Edit >” button of the uploads and/or responses you want to change (Note: Scroll down to see more responses). Edit your responses by typing into the text box or selecting a different choice(s). Tap the “Save” button. (Figure 4.7.A)

  1. To delete an artifact, tap the trash bin icon on the upper right corner then select "Delete" on the confirmation popup. (Figure 4.7.B)

  1. Tap the back arrow on the upper left corner to edit or delete other artifacts.

6.4 Sharing Artifacts

  1. After selecting a portfolio on My Portfolios page, tap the submitted artifact you want to share. (Figure 4.9)

  1. Select the shared portfolio where you want to copy the artifact to then tap the “Complete Copy” button. (Figure 5.1)

  1. Make the necessary changes on the copied artifact by tapping the “Edit” button of the uploaded photo/video/document, artifact questions and the team questions for shared portfolio. (Figure 5.2)

7. Managing Shared Portfolios

7.1 Viewing Shared Portfolios and Shared Artifacts

  1. On the Home page, select a shared portfolio or tap the “View Shared Portfolios” button to see more and select from the dropdown list. (Figure 6.0)

  1. On iOS, wait for the photo/video/document to load then tap the Done button to go back to the artifact.
  2. On Android, follow the steps below to view the uploaded photo/video/document:
    • Tap the photo to view, once done viewing switch back to the Spiral Notebook app.
    • Tap the video and then wait for it to finish downloading. If it did not auto-download, tap the "..." button and select "Download". If after downloading, the video does not play, go to your device's Files > Downloads and open the video from there. When done playing the video, switch back to the Spiral Notebook app.
    • Tap the document, wait for it to download and then tap the downloaded document to view. Switch back to Spiral Notebook app to view other uploaded files.

7.2 Editing and Deleting Shared Artifacts

  1. After selecting a shared portfolio, tap the shared artifact you want to edit. (Figure 6.2)

  1. To make changes to the artifact, tap the “Edit >” button of the uploads or responses. Tap the “Save” button to apply the changes or “Cancel” button to ignore it. Scroll down to edit more responses.(Figure 6.3.1)

Note: You will receive an "Edit Conflict" warning message if another user has made changes to the artifact question you opened for editing (Figure 6.3.2). To overwrite their changes with yours, select "Save Anyway" otherwise select "Don't Save". If you opted not to overwrite, make sure to copy and paste your changes to another word/note application to avoid data loss. Then cancel the editing, select "Discard changes" (Figure 6.3.3), go back to the Home page and do a pull-down refresh to get the latest changes from others. Copy the changes from another word/note application then paste it to the shared artifact.

  1. To delete a shared artifact, tap the trash bin icon on the upper right corner then select "Delete" on the confirmation popup. (Figure 6.4)

(Note: You can only delete a shared artifact if it does not have any comments and/or reactions)

  1. Repeat the steps above to edit or delete a shared artifact.

7.3 Copying Shared Artifacts to Another Shared Portfolio

  1. Open the shared artifact you want to copy to another shared portfolio. (Figure 6.5)

  1. Under the "Artifact Summary" section, tap the "Copy Snapshot to New Shared Portfolio..." link. (Figure 6.6)

7.4 Managing Comments and Reactions

7.4.1 Viewing Comments and Reactions

  1. After selecting a shared portfolio, tap the artifact to open and then tap the “Comments” button (Figure 6.8)

  1. Reactions made on the shared artifact appear with a count next to the emoji while comments are listed in chronological order. Tap the back arrow button to view other comments/reactions of other shared artifacts. (Figure 6.9)

7.4.2 Adding Comments and Replies

  1. Open a shared artifact where you want to add a comment and/or reaction to.
  2. Tap the “Comments” button.
  3. To add a reaction, tap the emoji
  4. To add a new comment, tap the “Add Comment” button. Enter your comments in the box then tap the “Save” button. (Figure 7.0)

7.4.3 Editing and Deleting Comments

  1. Tap the “Edit” button of the comment you want to edit or delete. (Figure 7.2)

  1. Make your changes in the text box and then tap the “Save” button to apply the changes or “Cancel” button to ignore them.
  2. Tap the “Delete Comment” to remove your comment from the shared artifact.

7.4.4 Adding Reactions

  1. Open a shared artifact where you want to add a reaction and then tap the “Comments” button. (Figure 7.3)

  1. Tap the reaction emoji to add, see the meaning of each below. A count will increase which indicates the adding of the reaction to the shared artifact. (Figure 7.4)

  1. Tap the back arrow button to add reaction to other shared artifacts.

7.4.5 Editing and Deleting Reactions

  1. To edit your reaction, tap the current and then tap a different reaction emoji.

Note: You can only edit your own reactions and not others.

  1. To delete your reaction, tap current reaction emoji and the count next to it will decrease indicating its removal from the shared artifact.

8. Viewing App Notifications

  1. Tap the “Notifications” icon on the footer navigation bar which appears on the Home, Contact and Settings page. (Figure 7.5)

  1. Wait for the app to finish fetching the notifications.
  2. Tap the notification to open. (Figure 7.6)

Note: If you are on the Notifications page for quite some time, navigate away from it then back to refresh the list.

9. Logging Out of the App

  1. Tap the “Settings” icon on the footer navigation bar which appears on the Home, Contact and Notifications page. (Figure 7.5)
  2. Tap “Log Out”. (Figure 7.7)

10. Getting Help on Using the App

  • Tap "Help" from the bottom navigation bar
  • Select "Contact Us" to get the email address where to report a technical issue/bug. (Note: Go to "Settings" > "About" and do a screenshot of diagnostic information to send along with the issue/bug report for helpful troubleshooting)
